How do I convert a Quote into an Order in the Accounts Portal?

Situation

You have won a quote and want to place the relevant order.

Note: This feature is only available for certain Distributor accounts

Note: This feature is not available for Expired quotes

Quotes exceeding 2999 seats: if an error is returned when converting a quote for more than 2999 seats, please submit a ticket to our Customer Care team

Exinda/GFI ClearView/GFI FaxMaker Online orders: this feature is under development for Exinda, GFI ClearView or GFI FaxMaker Online orders.

    1. Log in to the Accounts Portal and click Manage > Orders > Quotes, enter the Quote number in the search box and click the link number that appears

      Note: if you do not know the quote number you can search by Customer ID or subscription number or simply scroll through the list
  2. On the Quote page click the green Place Order button at the top
  3. Enter the PO number in the pop-up and click Confirm
  4. The pop-up will disappear revealing the Order Details page where you can monitor the progress of your order (you can close this page and access it again at a later time either by saving the URL or searching for the PO number under Manage > Orders)
    • Processed: the order has been successfully processed and the invoice has been automatically emailed to the on-file accounting address
      Note: if you did not receive the relevant invoice, go to the Orders page, search for the relevant order by PO number, click on the PO number and in the top right you will see the relevant invoice number; submit a request to our Customer Care team to resend you the relevant invoice.
    • Awaiting Approval: the order you placed needs approval to continue
    • Blocked/Error/Rejected: the order encountered an issue and a reason is given; refer to Why was my order not successfully processed? for explanations and solutions
